Privacy policy

This policy explains what personal data Systems4Gates collects through systems4gates.com, why we collect it, how long we keep it and what rights you have over it.

2. What we collect and why

Order data — name, billing and delivery address, e-mail, telephone, the items ordered and the payment reference. We need this to perform the contract you enter into when you buy, to deliver the goods and to issue the invoice.
Account data — the e-mail address and password of a customer account, plus your order history, where you choose to create one. The basis is your consent, withdrawn by closing the account.
Enquiries — whatever you tell us when you write to us or use a contact form, so that we can answer you. The basis is our legitimate interest in dealing with your request.
Commercial e-mail — your e-mail address, where you have asked to receive news of our products and offers. The basis is your consent, and every message carries an unsubscribe link.
Technical data — IP address, browser, pages visited and similar information generated by cookies, used to keep the site working and to measure how it is used.

We do not collect special category data, and we do not carry out automated decision-making or profiling that produces legal effects.

3. Payment details

Card numbers are entered directly with the payment provider over an encrypted connection. Systems4Gates never sees or stores your full card number, and we do not keep it on our server.

4. Who we share it with

We pass on only what is necessary, and only to:

the carriers who deliver your order (DHL Express, UPS) — name, address and telephone, plus the customs data required for shipments outside the European Union;
our payment providers, to take payment and handle refunds;
our hosting and e-mail providers, who process data on our instructions;
the tax authorities and other public bodies, where the law requires it.

Deliveries outside the European Economic Area involve a transfer of your address data to the carrier and to the customs authorities of the destination country, which is necessary to perform the contract.

We do not sell your personal data.

5. How long we keep it

Order and invoicing data is kept for the periods required by Spanish commercial and tax law — six years for accounting records, and longer where a claim is outstanding. Account data is kept while the account is open. Enquiries are kept for up to three years. Marketing consent is kept until you withdraw it.

6. Your rights

You have the right to access your data, to have it corrected or erased, to restrict or object to its processing, to receive it in a portable format, and to withdraw consent at any time. Write to info@systems4gates.com and we will reply within one month.

If you are not satisfied with our answer you may complain to the supervisory authority: in Spain the Agencia Española de Protección de Datos (www.aepd.es), in the United Kingdom the Information Commissioner’s Office (ico.org.uk), or the authority of the EU country where you live.

7. Cookies

This site uses cookies that are strictly necessary for it to work — your session, your basket and your login — and cookies that measure how the site is used. You can accept or refuse non-essential cookies, and you can set your browser to block or delete cookies at any time. Refusing essential cookies will stop parts of the shop from working.

We may update this policy. The version published on this page is the one in force.
